STUDIO POLICIES + PROCEDURES

CLASS PREPARATION

  • Please arrive no more than 5 minutes prior to the start of your scheduled session. Our studios are one room with limited seating / waiting areas, and our instructors are prepping the studio for your arrival or assisting a potential new client before class begins.

  • If you are a new client, please arrive 10 minutes prior to the start of class to review equipment and body positions. If you are not 10 minutes early, you will need to be rescheduled for a different class for safety reasons.

  • Grip socks are required for all studio classes and can be purchased at the studio.

  • Please do not wear clothing with zippers, rivets or fasteners or large jewelry items as this can damage the upholstery of our equipment.

  • If you are more than 5 minutes late, your spot may be given away to the next person on the waitlist.

  • Please arrive on time — late arrivals are a distraction for the instructor + clients, it’s unsafe, and you are missing much needed class time!


SCHEDULING

  • All Private sessions are booked in advance as an appointment only.

  • Group classes must be scheduled via the website or app.

  • Payment is due prior to scheduling/attending, if there are no credits on your account, your space will not be held.

CANCELLATION POLICY

  • If you need to cancel, please log in to your member portal / or view your bookings on the app to cancel.

  • Cancellations via text, DM or email will not be accepted.

  • Classes must be cancelled 12 hours prior to start time to avoid incurring a fee.

  • Classes cancelled after the 12 hour cut off will be charged a $20 fee.

  • In the event of no show or cancellation at the start of class time (up to one hour before class) client will incur a loss of credit + fee.

  • Cancellation at the start of class (up to one hour prior) or after will be considered a no show + fee.

  • There will be no extensions or made up sessions due to tardiness or lateness.

BOOKING WINDOW

  • The schedule is released on a rolling basis, every day adds a day.

  • Clients using class packs and drop ins can book themselves for the following 7 days, Clients using memberships can book for up to 2 weeks at a time.

  • It is the clients responsibility to be diligent about checking the schedule and booking in order to get a class spot.

WAITLIST

  • Due to the small, private nature of our studio, we do incur waitlists. We highly encourage you to book yourself into class, even if there is a waitlist!

  • The waitlist cut off is 1 hour prior to class, in the event someone cancels, our system will automatically move you in up to 1 hour prior to the class..

  • Please keep in mind, if you are on the waitlist and added to class, you will be subject to our cancellation policy.

  • If you are not planning on attending class please remove yourself from the waitlist.

  • The client is responsible for monitoring their waitlist reservations.

MEMBERSHIP TERMS

  • Any package labeled: TONED VIP, FOUNDING VIP or SCULPT SESSIONS are considered monthly memberships.

  • All memberships require a 3 month minimum commitment. There are no exceptions.

  • Upon purchase of a membership you authorize Toned Studio to charge the payment method on file each month on the bill date, until cancelled.

  • Membership credits do not roll over to the next month or billing period.

  • If your payment method on file fails, your credits will be frozen until payment can be recouped.

  • You can pause your membership for a minimum of 30 days per calendar year.

  • To pause, please inform the studio by email at least two weeks prior to your upcoming bill date.

  • There are no refunds or reimbursements for any memberships OR class packs.

  • Memberships and class packs cannot be transferred or shared between clients.

  • If you run out of credits for the month, you are not able to see the schedule or book classes. If you need credits before your membership renews, you must buy a drop in credit.

  • To pause or cancel a membership, please fill out the cancellation request form and email: hello@thetonedstudio.com
    Cancellations via DM or text will not be accepted.

  • Members must fill out the cancellation request form and contact hello@thetonedstudio.com by email to cancel 30 days prior to the next billing cycle. [Ex. Your subscription renews on June 1. Your cancellation request must be received via email by May 1.]

PREGNANCY GUIDELINES

  • It is required that a client informs the studio via email that they are pregnant so that a note and flag can be put in their client profile.

  • While we have many women continue group classes through late pregnancy and childbirth with little need for modification, it is highly individual. If you are personally concerned private training is a great option to explore. In private sessions we can work to help you feel comfortable and confident.

  • If client chooses to continue group classes, a doctor’s note with approval to continue an existing exercise regime is required.

  • A pregnancy wedge is optional but encouraged for any supine work for extended periods for clients that are 20+ weeks pregnant.

  • It is the clients responsibility to vocalize any discomfort during training, cease performing the exercise and take a recommended modification.

  • Bridging on the footplate instead of high foot bar is recommended after 20+ weeks.

  • Standing carriage exercises can always be subbed for floor exercises depending on client comfort level and balance/stability.

  • At 20+ weeks, some pregnant clients may prefer to limit range of motion in abdominal flexion and rotation. Supine (non chest lift) ab work can be subbed for any crunch or rotation exercise.

  • No laying prone (on the tummy) after 20+ weeks and/or visible bump.

  • Because Pregnancy is highly individual, please inform your instructor prior to class if there are specific things you are not comfortable doing.

  • Group classes are not recommended for clients starting Pilates for the first time in late pregnancy - please book a private session!

TECH POLICY

  • Photos & videos are encouraged and appreciated, please tag us - we love when you share your love for toned studio!

  • While we love your videos when you share / tag - clients may only record clips, not the full class.

  • In order to provide an environment free from distraction, all cellphones must be turned to silent or DND during studio sessions.

  • Your class time at toned studio is your time to tune in, ground, recharge and disconnect. Use this opportunity to your full advantage!

PHOTO/SOCIAL MEDIA RELEASE

  • We love to showcase our clients on our website + social media platforms, and we do take photos during classes.

  • It is the clients responsibility to “opt out” of photos by informing the instructor prior to class.

LIABILITY

Waiver and Release of Liability

This Agreement is entered into between The Toned Studio and the (“Client”). The provision of personal Pilates training services, group classes and workshops by Trainer to Client, and Client’s use of any premises, facilities or equipment are contingent upon this Agreement.

Client agrees to:

  • Vocalize any discomfort, sensitivity or pain.

  • Prior to class, inform the instructor of any previous injuries, pregnancies, or bodily concerns,

  • Cease performing any exercise that doesn't feel safe for their body and take the proper modification.

Trainer and studio are not held liable for any injuries that occur during sessions or on studio property.

The provision of personal Pilates training services and group classes by Trainer to Client, and Client’s use of any premises, facilities or equipment are contingent upon this Agreement.

Be sure to consult your physician, assess your fitness levels, and follow all safety instructions before beginning this or any exercise program and nutrition plan. If you are currently pregnant or have any existing injury, please provide the trainer with a release form from your physician currently releasing you for exercise. 

It is extremely important that you listen to your body, use common sense, take breaks, and hydrate as needed to avoid injury and help prevent serious medical conditions or injuries. Only you know if you are in sufficient physical condition to safely perform this exercise program and follow the nutrition plan.

If at any time you feel you are exercising beyond your current fitness abilities, or you feel any discomfort, pain, dizziness, or nausea, you should discontinue exercise immediately and reconsider your use of the program or the particular exercise routine.

INDEMNIFICATION: By execution of this agreement, you hereby agree to indemnify and hold harmless Trainer from any loss, liability, damage, or cost Trainer may incur due to the provision of personal training by Trainer to you.

By clicking "BOOK NOW" on any class, or SCHEDULING training sessions, you acknowledge that you have carefully read this “waiver and release” and fully understand that it is a full release of liability. You expressly agree to release and discharge the trainer or instructors from any and all claims or causes of action and you agree to voluntarily give up or waive any right that you may otherwise have to bring a legal action against the trainer or instructor for personal injury or property damage. You agree that all agreements, notices, disclosures, and other communications that we provide to you electronically satisfy any legal requirement that such communications be in writing.
